Assist in organizing & tracking real estate closing files from initial intake through post-closing per the law firm's procedures. Ensure all legal & transaction documentation is collected, labeled, & filed accurately to comply w/ firm & regulatory standards. Serve as a primary point of contact for clients, title companies, mortgage lenders, & realtors involved in real estate transactions; provide case status updates, respond to basic procedural inquiries, & relay time-sensitive info to attorneys & paralegals. Manage & maintain the firm's real estate closing calendar, including scheduling closings, client meetings, & document signing appointments, coordinate appointment logistics w/ clients & third-party participants. Support attorneys & paralegals by formatting, printing, scanning, & assembling closing document packages for signature & timely delivery. Organize, maintain, & archive both digital & physical case files. Assist w/ post-closing file archiving & ensure compliance w/ legal document retention & confidentiality requirements. Communicate regularly w/ legal team members to confirm task completion, provide updates on case status, & help manage shared workflow in a high-volume real estate law practice.
HS or GED + 36 mos of exp as an Operations Manager, Director of Operations, Office Administrator, or closely related.
